The Courtyard Centre takes your privacy seriously and is committed to protecting your privacy. We do not rent, sell, disclose or distribute your information to any outside parties.

This site collects no personally identifying information about individuals except when specifically and knowingly provided by such individuals. We do record information such as time of day, browser type, browser language, and IP address when you interact with the site. The Courtyard Centre uses this information to help diagnose problems with our server and to administer our web site. We also use this information to verify the number of discrete times you visit this web site each day.

In addition, we may place a “cookie” in the browser files of a user’s computer. The cookie itself does not contain any personally identifying information although it will enable us to relate a user’s use of our sites to information that the user has specifically and knowingly provided to us.

When you register with our centre you are under no obligation to provide any personal data, other than your name, e-mail address, telephone number and postal address. In registering with our centre you consent to us storing this information and give us your permission to contact you regarding any services you have requested from us.   The Courtyard Centre may telephone or send emails to those who are registered with us regarding any bookings and services you have requested.  We may ask for further information from you in order to obtain a better understanding of how The Courtyard Centre can improve our offering to you. In all instances it is entirely your choice whether or not to provide information. When you register with us you will be asked if you would like to join our mailing list to receive latest news and promotions, this is optional and you can unsubscribe from our mailing list at any time by contacting us.  If you would like to de-register from our database and your personal data be deleted permanently, please contact us. 

To ensure the security of your data, including address information and credit card numbers, The Courtyard Centre always uses industry-standard encryption technologies when transferring and receiving consumer data exchanged with our site. We have appropriate security measures that protect against the loss, misuse or alteration of information that we have collected from you.

While we will seek to require third parties with whom we have agreements to follow appropriate privacy policies, we do not bear any responsibility for any actions or policies of third parties. Our web site contains links, to our e-commerce and bookings provider. This site is not maintained by us. If you visit these sites, please look for their privacy policy.

Children should ask their parents for permission before sending any information about themselves to us or anyone else over the Internet.

Our booking policy:

Classes, events, appointments must be booked and paid in advance online through our website. Passes and vouchers cannot be extended, refunded, exchanged or transferred.

Courses & workshops :  Spaces on our courses and workshops are limited and must also be booked and paid in advance. Spaces are confirmed upon payment. Before committing to a course or workshop, please ensure you can attend the majority of scheduled number of sessions to get the most out of the programme. We cannot offer refunds or rollovers for students who are unable to attend some or all of the classes on their course due to illness, work, family or other reasons.  Thank you for your understanding.

Our cancellation policy:

We kindly ask that you give us at least 24 hours advance notice if you need to cancel private classes and therapies, 48 hours for room hire, 72 hours to cancel an event and 7 days to cancel a course. You can then reschedule your appointment or class to an alternative date/ time. We regret that no refund or transfer can be given for any therapies or private classes cancelled within 24 hours (these must be paid in full if not already pre-paid) or any workshop or course cancelled within 7 days.

It would be greatly appreciated, if you have to cancel an appointment or course that you give us as much notice as possible so we can give your session or place to another client.

If The Courtyard Centre cancels a course or workshop for any reason you will be offered either a full refund or the option of being transferred to an alternative event.

The Courtyard Centre reserves the right to amend this policy at its sole discretion.

Important information:

We do ask that you take responsibility for your own health and care. Please listen to your body and respect it. Your ability may vary from session to session depending on your state of well-being, fitness, tiredness and/or stress levels. Work in a way that feels right for you on any given day. Pain is the body's warning system and should not be ignored.

Please advise us before commencing any session if, for any reason, your health or your ability to exercise changes (i.e. muscle soreness, joint pain, pulled muscles, minor injuries etc). Please inform your teacher/ therapist immediately if you feel any discomfort during a session. Please also inform the teacher if you felt any discomfort after a previous session.
If you feel unwell (head cold, dizziness, sickness etc) it would be prudent not to attend class. This is primarily for your safety and well-being (your powers of concentration and performance levels may be below par and however slight, there is an increased risk of injury) and also in consideration for the comfort, well-being and health of other members in the class.
As with all forms of physical exercise, it is prudent to consult your doctor before starting. The sessions are not a substitute for medical counselling or treatment. If you have any doubts about the suitability of a class or therapy, you should refer back to your medical practitioner.

The teacher can accept no liability for personal injury related to participation in a session if:
•    your doctor has, on health grounds, advised you against such exercise.
•    you fail to observe instructions on safety or technique.
•    such injury is caused by the negligence of another participant in the class/studio.

It is advisable to drink water during and after sessions to re-hydrate the body and to help flush out toxins that may have been released by your body as a result of the exercise programme. Increasing your water intake (6-8 large glasses per day) will also help to promote and improve your general health and well-being.

Some of the classes/ therapies involve hands-on (tactile) correction or touch therapy and you consent for the teacher to work in this way.
By participating, you confirm that you have read and understood the above advice.

Studio Hire Terms and Conditions 

This document forms the terms and conditions of hire of studio space by a hirer (you) at CYC (we/us). The hire of studio space under these terms and conditions does not create any affiliation or partnership between you and CYC, and CYC takes no responsibility for and does not endorse the content of activities which you carry out in its studios. 

1. Booking & Cancellation Procedure: 

1.1 Advance payment is required to secure all studio bookings at CYC.We reserve the right to cancel any booking where payment is not received before the event. 

1.2 Our studios must be booked and paid online via our website booking system (Acuity). For all studio bookings please email courtyardcentre@gmail.com to confirm suitability and availability prior to booking. Once a studio has been booked the following booking cancellation policy will apply; - 

Cancellation Policy 

If bookings are for less than 3 hours we require 48 hours notice for no charge, we can then reschedule your booking to an alternative date/ time.

If the booking is for 3 hours or more the following applies, 

Bookings cancelled within 30 days of invoice date or initial confirmation email are subject to 30% charge. Bookings cancelled within 7 days of the studio hire booking are subject to 50% charge. Bookings cancelled within 48 hours of the studio hire booking is subject to 100% charge. 

1.3 It is your responsibility to ensure you have received your booking confirmation email and that the information is correct. If you do not receive this email, please contact the studio team as soon as possible. The same rules and procedure apply for booking cancellations/ reschedules. 

1.4 A payment schedule can be negotiated if the booking is more than three months in advance; please contact the studio hire bookings team for more information about this. 

1.5 Studio times and locations may be changed or cancelled in exceptional circumstances by CYC. You will be given notice of cancellation by email as far in advance of the booking date and time as is reasonably practicable. 

2. Noise levels in the Studios: 

2.1 Noise levels in all studios must be kept to a reasonable level as determined by CYC. If you are disturbing other users, you will be instructed to reduce your noise level by CYC staff. . 

3. Food & Drink in the Studios: 

3.1 Generally speaking no food or drink may be taken into the studios except bottled water. However, if you feel your hire requires this exceptionally please arrange by emailing us prior to online booking. 

4. Damage to the Studios: 

4.1 You will be liable for any damage caused to the studios. This includes (without any limitation) damage to the studio’s floors, walls, or audio system. You are responsible for informing us if you notice anything unusual in the condition of the studio that you are using before commencing your booking. 

5. Booking Times: 

5.1 Our booking policy allows for back-to-back bookings. You must keep to your allotted time slots and you must ensure that in the case of classes that require warm-up and cool-down or other arrangements such as setting up and packing away equipment etc is allowed for within the booking time. If you persistently fail to keep to your allotted time, you will not be allowed to book studio space in the future.

5.2 CYC reserves the right to charge for any extra time in the studio according to CYCs report. 


6. Use of Equipment: 

6.1 Please note; wiring on the equipment should not be tampered with under any circumstances for your own personal setup. Liquid should not be kept on top of any of the audio equipment. 

6.2 Should you require any extra equipment (i.e. chairs and tables), this must be requested and agreed in email prior to booking. 

6.3 Any equipment should be compliant with current guidance & legislation. 

6.4 All equipment brought onsite must be discussed and approved at the time of the booking. Setup and removal of such equipment is the responsibility of the hirer. Any damages to hirers equipment is the liability of the hirer. The hirer must not under any circumstances unplug, interfere with or change the settings of any equipment in the studios (e.g. audio). 

7. Photography & Video Filming: 

7.1 We prohibit filming and photography of classes, other studio hirers, staff, members of the public and children using the building. Filming and photography for your hire within CYC must be approved at the time of booking or in advance of the hire in writing. 

8. Health & Safety, Best Practice and Public Liability Insurance: 

8.1 You are responsible for ensuring your session is run in line with current health and safety legislation and best practice guidelines. CYC takes no responsibility for the content or health and safety of classes run by external hirers. 

8.2 The first aid kit and accident book is kept at happy cats reception. Should a participant in your hire sustain an injury please inform any staff on site who can assist by calling paramedics if required. Please note that staff members can only assist you on site and will not be able to leave the premises. 

8.3 All hirers must tell us in advance if they are expecting any disabled users. CYC  is not adapted for wheel chair use so please discuss this requirement first prior to booking..

8.4 All hirers must make themselves familiar with the fire evacuation procedures (and must make sure hirers participants are briefed on the course of action in case of fire.

8.5 CYC is not liable for and cannot cover the loss of a hirer’s personal property.

8.6 Hirers need to have insurance to cover any situation involving loss or injury to any of their participants or members of the public as a result of their own activities. 

8.7 If a session involves participants who are under the age of 18 or classed as vulnerable adults the hirer is responsible for ensuring that the relevant DBS checks have been obtained. Children use CYC studios and hirers and their customers are expected to be mindful of this in their conduct at all times. 

8.8 For health and safety reasons hirers are advised not to exceed the recommended studio maximum capacity of 20 people per studio. 

9. Location & Building Facilities: 

9.1 The Courtyard Centre for Heath & Wellbeing is located at 6 High St, Biggleswade SG18 0JA. More information can be found on this link: https://www.courtyardcentre.co.uk/ . 9.2 Toilet and changing facilities are in various locations around the building. 

10. Marketing & Publicity Guidelines: 

10.1 Studio hirers are only allowed to mention CYC in their advertising as the venue where their activity is taking place and must not use the word or logo ‘ The Courtyard Centre for Heath & Wellbeing” in the title of their event. Location must be listed as “The Courtyard Centre for Health & Wellbeing” with no other suffixes. 

10.2 All studio users must be directed to the entrance on 6 High St, Biggleswade SG18 0JA CYC’s website has directions, travel information and a map which can be used on advertising material: https://www.courtyardcentre.co.uk/ 

10.3 The Courtyard Centre for Heath & Wellbeing logo must not be used in connection with any hire, unless the performance or workshop has been directly commissioned by CYC.

11. Pricing and Studio Specificities: 

11.1 Rates are calculated by the hour (one hour minimum hire, after which fractions of 15 or 30 minutes are permitted). 

11.2 CYC is a small business and is not VAT registered, so VAT is not charged on bookings. 

11.3 We are not able to offer discounts for charities unless prior approval is obtained by email 

12. Studio Hire Rules 

12.1 Hirers must state the intended use of the studio at the time of booking. Studios must be entered and exited promptly at the times of the booking. Any over-running of the booking will incur additional charges. 

12.2 It is not permitted to enter studios other than the booked studio. The use of other studios without prior agreement will incur additional charges. It is not permitted to enter the booked studio before the time of booking unless specific permission given on the day by a CYC manager. 

12.3 It is the responsibility of the hirer to inform CYC about the type of footwear to be used prior to use in the studios and to check for (but not limited to) loose screws, loose nails, worn heels, outside liquids or gum that may cause damage to the studio floors. We prefer shoes to not be worn in our studios.

12.4 Any damages discovered following the hire beyond normal wear and tear are the liability of the hirer and will be recharged. 

12.5 CYC does not allow hirers to bring in their own tape to mark the studio floors. 

12.6 CYC reserves the right to move the hirer to another studio. 

12.7 The hirer is responsible for the conduct of the users of the hire at all times both in the studios and in the rest of the building, Studios must be left in a tidy condition. All rubbish must be placed in bins and all CYC equipment used must be returned to its allocated storage space. 

12.8 No alcohol may be brought into or consumed on the premises at any time unless specifically agreed in writing by CYC management prior to the booking. 

12.9 If a hirer finds a problem with the studio they have hired at the start of the hire they must notify us by email (courtyardcentre@gmail.com) and contact 07534962048 immediately. CYC will give best endevours to remedy the situation where reasonably practicable. 

12.10 Hirers are not permitted to sell or offer for sale or distribute any items outside of the studio they have hired, and only to their own participants. 


14. Storage 

14.1 There is limited storage space available that can be booked in advance for an additional fee. No equipment or props etc may be left outside the hired studio. 

14.2 Upon making a booking and entering CYC premises the hirer accepts the terms & conditions above and agrees to comply with them at all times. 

CYC has a zero tolerance policy towards any kind of abuse of staff, teachers, other hirers or members.CYC team  reserve the right to enter the studio/s at any time should they deem it necessary 

CYC reserves the right to eject hirers and/or their clients from the premises at any time if the T&C’s are breached.

EMERGENCY PLAN 

Location: 6 High St, Biggleswade SG18 0JA 

1 .All Staff should be aware that the meeting point after an evacuation is; The Conservative club car park which is on the right upon exit of the courtyard centre. 

2. . If anyone comes across a fire within the building they must break the glass at a call point to sound the alarm and, call 999 and ask for the fire brigade. 

If you discover a fire in the building please sound the alarm at your nearest point and take the responsibility to ensure that the members of your group leave the building immediately and take the following action. If the fire alarm sounds: 

1. Call the Fire Brigade immediately on 999 

2. Evacuate the building quickly and safely in an orderly fashion 

3. Do not stop to collect any personal belongings 

4. Assemble on the pavement area at the Conservative club car park. 

5. Do not re-enter the building until it is safe to do so

The following Terms and Conditions have been prepared to help you make the most of our services. Please take a few moments to read them thoroughly.

THE CENTRE - Terms & Conditions of Use

1 Interpretation and Variation

1.1 In the Terms and Conditions the following definitions apply:

"CYC" means The Courtyard Centre for Health and Wellbeing Ltd.

"Registrant" means any person that has completed an online booking, and which booking has been accepted by CYC.

"Centre" means The Courtyard Centre, 6 High St, Biggleswade, SG18 0JA.

"Terms and Conditions" means these terms and conditions.

"Website" means www.courtyardcentre.co.uk.

“Session” means classes/ courses/ therapies/ workshops or any other activity undertaken at the Centre.

1.2 References in the Terms and Conditions to the singular will include the plural and vice versa and references to the masculine gender will include references to the feminine gender.

1.3 Agreement to the Terms and Conditions are incorporated into the Registration Form.

1.4 CYC reserves the right to vary and revoke the Terms and Conditions from time to time which variation it may consider necessary or desirable for the regulation of the affairs of the Centre and the conduct of Registrants. Any such changes will be notified to Registrants and, until revoked, are and will be binding for Registrants.

1.5 The Terms and Conditions will be governed by the laws of England and subject to the exclusive jurisdiction of the English courts.

 

2 Registration

2.1 Subject to condition 2.2, when a person has completed an online booking they become a Registrants of the Centre.

2.2 Acceptance of a person as a Registrants is at the absolute discretion of CYC.

2.3 CYC reserves the right to expel from the Centre, suspend for a specific period or refuse to renew the registration of, any Registrants whose conduct is or may, in CYC's reasonable opinion, be injurious to the character of the Centre, or which amounts to a breach of the Terms and Conditions, or where such expulsion is otherwise in the interests of the other Registrants of the Centre. Any Registrants so expelled will forthwith cease to be Registrants of the Centre and will not be entitled to any refund for any period during which his registration is suspended.

 

3 Centre Opening Times

3.1 Details of class times at CYC may vary from time to time, including cancellations of individual classes. Class times will be published by the Centre and will be available on the website.

3.2 Class size is limited, therefore classes must be booked in advance.

3.3 Substitute Teachers/ Therapists: CYC reserves the right find substitute teachers as replacements if needed, due to illness, travel or exceptional circumstances. 
 

 

4 Payment Terms

4.1 Details of session prices are available either on the website or directly from the Centre and will be such prices as determined by CYC from time to time.

4.2 A Registrant may not attend any session at CYC without first paying for the relevant session and entering themselves into a session.

4.3 Subject to any statutory right of cancellation, payments for sessions, class passes, gift vouchers, monthly subscription fees and annual payments are non-refundable and non transferable unless otherwise stated in the Terms and Conditions. Refunds and credits if any, as are made shall be entirely within the discretion of CYC.

 

5 Class Passes

5.1 Registrants must understand that their pass is for their sole use and is not transferrable to another person (abuse will lead to forfeiture).

 

6 Limitation of Liability

6.1 CYC cannot be held responsible for any particular session, instructor / therapist and/or item of equipment not being available for whatever reason. CYC reserves the right to make alterations to the sessions, instructors and/or equipment, as well as to those ancillary facilities (e.g. toilets), provided to Registrants, without notice and in its absolute discretion and CYC will not be liable for any loss occasioned by such alterations, except insofar as such loss is by law incapable of exclusion.

6.2 It is the Registrants responsibility to ensure that they are capable of undergoing a routine of exercises provided by any programme which they follow, or session which they attend. Registrants  accept the risk of injury from performing exercises and are advised to consult their doctor prior to beginning any session.

6.3 CYC accepts no liability for loss or damage to property of Members or for injury to Members on the Centre premises or outside the Centre except insofar as such loss, damage or injury is by law incapable of exclusion.

 

7 Standing Orders

7.1 The provisions of this clause 5 shall only apply to Registrants that subscribe for services by monthly standing order ("Subscription").

7.2 Any Registrants, who is purchasing classes by Subscription, will forfeit their registration if they fall behind in payment for more than 14 days.

7.3 Subscription fees must be paid in accordance with the Terms and Conditions irrespective of whether or not the Registrants uses the Centre‘s facilities.

7.4 Registrants shall be given not less than 10 working days written notice of any increase in their Subscription.

7.5 Registrants may cancel their Subscription at any time by written email (courtyardcentre@gmail.com) request to the Studio, giving 1 clear calendar month‘s notice of the desired cancellation date.

7.6 It is the responsibility of the Registrants to cancel his standing order with his bank on termination of his Subscription. CYC cannot be held liable for any payments processed due to the failure of a Registrants to cancel a standing order.

7.7 Registrants who do not wish to accept a change proposed by CYC to the Terms and Conditions or to pay an increase in any Subscription fees may cancel their Subscription by giving written notice to the Centre. The notice must be given before or within 28 days after the change to the Terms and Conditions or increase in subscription fees takes effect and must expire at the end of the relevant calendar month. The Registrants giving notice must continue to pay subscriptions at the rate current immediately prior to any proposed increase until the end of such notice period.

 

8 Fitness and Health

8.1 Registrants are advised not to undertake strenuous physical activities or receive a therapy without first seeking medical advice if they have concerns over their physical condition. CYC reserves the right to refuse access to any Registrants if, in its absolute discretion, it considers that the health of the individual concerned may be endangered by the use of such facilities.

8.2  If there is any doubt about the suitability of a session, the Registrants should consult his doctor. Registrants must notify the Centre of any circumstances affecting their health, which may be exacerbated through continued use of the Centre.

8.3 Registrants are required to follow the instructions of the instructor at all times.

8.4 Registrants are required to inform a member of staff, if they incur injuries or conditions, after the initial information stated on their registration form.

8.5 When registering for sessions with CYC, you agree to report any and all injuries immediately to teachers/ therapists. You further agree that all sessions shall be undertaken by you (or your child/ dependent) are at your sole risk and that CYC shall not be liable to me for any claims, demands, injuries, damages, actions or courses of action whatsoever, to your person (or child/ dependent) or property arising out of or connecting with the use of the services and facilities of CYC by you (or your child/dependent) or to the premises of CYC. Further, you do hereby forever release and discharge CYC from all claims, demands, injuries, damages, actions or courses of action, and from all acts of active or passive negligence on the part of CYC, its volunteers, employees, agents, self employed teachers/ therapists or contractors.
 

9 Use of Facilities

9.1 A Registrants is entitled to use the Centre's facilities, provided always that the Centre may at any time without notice withdraw all or part of its facilities for any period or periods and with notice, where practicable, in connection with any cleaning, repair, alteration or maintenance work, or for reasons beyond the control of CYC.

9.2 Children under the age of 16 must not use the facilities without prior agreement and if agreed must be accompanied by a parent or guardian.

 

10 Safety and Hygiene

10.1 In the interests of safety and hygiene, no crockery or glass are permitted in the waiting rooms, studios or therapy rooms. Only water is permitted in the studios (no coloured drinks). Registrants  must not walk around the studios barefoot if they have verrucas or similar foot complaints. Please wear socks or appropriate indoor footwear.

10.2  Fire exits, which are clearly marked, are there in the interests of safety and Registrants must not interfere with these exits for any reason.

10.3 In the event of a fire, Registrants are asked to make their way to the nearest available exit.

10.4 Registrants are required to use a suitable towel for personal hygeine where necessary.

10.5 Smoking is forbidden in the Centre.

 

11 Personal Belongings

11.1 Personal belongings are brought onto the Studio premises at the Registrants own risk and CYC does not accept liability for any loss or damage whatsoever to such items. We advise Registrants to bring any valuables into the studio during a class and prefer coats and shoes to be left in waiting area.

 

12 Dress

12.1 Registrants are requested to wear a form of dress appropriate to the session they are attending. For yoga, dance, fitness etc classes we recommend that Registrants wear stretch pants or shorts with an inner lining and a T-shirt or sports top. Either appropriate footwear (indoor trainers or similar) should be worn or barefoot depending on class and teacher instructions (subject to clause 10.1). All outdoor footwear should be removed in the waiting area, before entry to the studio.

 

13 General

13.1 Registrants are required to give notice to CYC of any change of email address. Failing such notice, all communications will be assumed to have been received by the Registrants within five days of mailing to the last address notified to CYC.

13.2 CYC reserves the right to refuse admission to the Studio.

13.3 CYC may communicate with the Registrants by electronic mail ("email"). By providing an email address to CYC, the Registrants consents to receiving email communications from CYC, including notices pursuant to the Terms and Conditions. The Registrants will also accepts the risk that email may not be a secure and confidential means of communication. CYC will not be liable for any loss or damage suffered as a result of communicating with a Registrants by email.

13.4 Registrants must at all times observe the Centre guidelines, which may be notified to them from time to time, and are requested to comply with any reasonable directions, which the management of the Centre may issue to ensure the smooth operation of the Centre,for the convenience of all Registrants.

13.5 Any marketing, educational or other materials of this nature whatsoever produced by CYC in connection with the Centre and which are made available to Registrants at the Centre, will at all times remain the property of CYC and will be subject to the CYC's copyright.
